Try not putting photos/family photos in the portfolio...I saw 1 teacher asking the parents to take out those pages with photos only from the portfolio. My friend had the same experience too. To my understanding, they just accept certificates, school reports, EAC listing/certifcates etc.
Cover letter is not counted.

Last year I did have a page with photos of competition awards. The teacher asked me to take it out originally. Yet, as I'd also included photo captions under these photos (e.g. competition name, date, award title etc.), I explained to the teacher that those were not merely photo exhibition but information on the competitions that my son had participated. She let me keep that page finally.

Nevertheless, this may be an individual case and don't try to use this as an argument point with school.

According to last year's requirement, double-sided printing is allowed and you can reduce the size of the certs as long as they are readable.

本身已經整左份（有相片的），睇完以上前輩的經驗，今朝再整多份無相的後備，最後咪又係浪費紙張！其實如果真係唔收有相片，學校可以講明唔收。

Personal information: yes

Art works: I don't have such experience. I'll suggest you to relate the art works to the extra-curricular activities or competition entered instead of just stand out like an exhibition of art works.
