I always ensure I go with the student at least 1 session at the actual examination room. I do mock exam in there. I teach on only grand pianos as well, but every grand is different, and the room size makes difference, so it's best to go together at least once to give the student confidence!
As for time matching, well, in my opinion that's part of my job. But my students typically book 2-3 sessions, so I ask them to book right away, so we manage to book the time that I am free, or the last student of the day, then I don't have to cancel so many other students.
Students and parents understand because there is always going to be "your" turn.. so the students who aren't taking exams this session are very accomodating in rescheduling with me.
SO to answer your question, yes, would be nice, but NOT absolutely a MUST if teacher cannot.
